Summary

  • The Executive Assistant works directly with the Managing Director and is responsible for supporting the planning, administration, communication, reporting, and following up the needs of the Managing Director undertaking a variety of tasks to support her vision, strategy, and approach.
  • The Executive Assistant is responsible for filtering and triaging inbound communications in line with business objectives and priorities working with other departments to ensure on-time execution.

Roles and Responsibilities

  • Provide sophisticated calendar management for MD. prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the Management Team.
  • Arrange and handle all logistics for management meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Complete a broad variety of administrative tasks that facilitate the MD’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense approval and reports.
  • Work closely with the MD to keep them well informed of upcoming commitments, responsibilities or any emerging issues, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the MD updated.
  • Coordinate all Management Team meetings and retreats and assist with staff meetings and events as needed.
  • Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the MD and staff, demonstrating leadership to maintain credibility, trust, and support with the Management Team.
  • Complete projects by assigning work to appropriate staff, including the Management Team, on behalf of the MD.
  • Act as a translator/interpreter (Burmese and English) between MD and staff.
  • Work with the Management Team to coordinate the MD’s outreach activities. Follow up on contacts made by the MD to cultivate ongoing relationships.
  • Invest in building long-lasting relationships both externally and internally.
  • Other duties if required for the benefit of the organization.

Job Qualifications and Requirements

  • Minimum bachelor’s degree
  • Minimum 5-year experience working in a professional role and 3-year minimum executive support experience, including supporting C-level executives.
  • Proficient in English (Speaking, Reading, Writing, and listening)
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and attention to detail.
  • Strong ability to execute work from diverse, equitable, and inclusive perspectives.
  • High degree of professionalism in dealing with diverse groups of people, including management members, senior staff, staff, customers, community leaders, donors, and funded partners.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with minimum guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment’s notice.

Additional information

  • The role involves translation and interpretation (Burmese and English) between MD and staff.
  • The role involves travels between branches.

Working Hours: 8:30 AM – 5:30 PM
Holidays: Saturday & Sunday, Public Holidays
