Job Requirement

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Relevant administration certificates or diplomas (Facilities Management, Office
  • Administration, Operations, or similar) are an advantage.
  • Master’s degree in Management, Administration, or related discipline is a plus.
  • Sound understanding of administration governance, facilities management, and security operations.
  • 7–10 years of progressive experience in Administration, Facilities, or Operations roles.
  • At least 3 years in a managerial or supervisory position, preferably in real estate, construction, or multi-site organizations.
  • Strong leadership and operational control Security, asset, and facilities management expertise
  • Reporting, data analysis, and administrative analytics skills
  • Logical thinking, problem-solving, and structured decision-making ability
  • Excellent coordination, documentation, and stakeholder management skills
  • Cost awareness with a service-oriented mindset

Job Descriptions

  • Oversee all Head Office and site administration functions, ensuring consistent service
  • standards and operational discipline.
  • Manage office operations including workplace setup, supplies, logistics, travel coordination, and general admin services.
  • Establish, implement, and continuously improve admin SOPs, workflows, and approval controls to support business efficiency.
  • Lead and manage the security function across HQ and sites (in-house or outsourced).
  • Coordinate security deployment, duty rosters, discipline, incident reporting, and performance monitoring.
  • Ensure site security, access control, asset protection, and compliance with safety and risk management guidelines.
  • Maintain and control the company asset register (office, site, equipment, furniture, and other assigned assets).
  • Manage asset issuance, transfer, return, and disposal in coordination with HR and Finance.
  • Conduct periodic asset verification and support internal and external audit requirements.
  • Establish and manage centralized document control systems for admin-related documents (contracts, licenses, permits, vendor records, approvals).
  • Ensure proper filing, version control, confidentiality, and timely retrieval of documents at HQ and site levels.
  • Maintain audit-ready documentation and compliance with internal governance standards.
  • Oversee facilities management support for Head Office and all project sites, including building maintenance, utilities, and office infrastructure.
  • Coordinate preventive and corrective maintenance with internal teams and externa service providers.
  • Ensure facilities are safe, functional, cost-effective, and aligned with company image and operational needs.
  • Manage and evaluate admin-related vendors (security, cleaning, maintenance, utilities, office services).
  • Monitor service quality, contract compliance, cost control, and vendor performance.
  • Support budgeting, expense tracking, and cost optimization initiatives.
  • Work closely with HR, Finance, Project, and Site teams to ensure smooth daily operations.
  • Prepare and submit regular admin, security, asset, and facilities reports to the Head of HR & Admin.
  • Handle ad-hoc admin and operational assignments as required by management.

Working Hours: 9:00AM to 6:00 PM
Holidays: Saturday (Alternative), Sunday & Public Holiday
