Role Overview

  • The Property Assistant Manager supports the Property Manager in overseeing daily building operations, ensuring smooth facility management, and maintaining high standards of property upkeep.
  • This role involves supervising security, housekeeping, maintenance, and administrative tasks while ensuring excellent service to residents.
  • The Property Assistant Manager also assists with financial and tenant management, enforcing policies, and coordinating with vendors and service providers.

Key Responsibilities

1.Building Operations & Facility Management

  • Supervise daily operations of the condominium, including security, housekeeping, and maintenance.
  • Ensure all common areas, amenities, and equipment are in good working condition.
  • Assist in implementing property management policies and guidelines.
  • Conduct routine inspections and report maintenance or operational issues.

2.Resident & Tenant Relations

  • Act as a key point of contact for residents, addressing concerns and resolving issues.
  • Assist in the smooth move-in and move-out process for tenants and owners.
  • Ensure prompt communication regarding property notices, updates, and events.
  • Coordinate resident satisfaction surveys and feedback collection

3.Security & Safety Compliance

  • Work closely with the security team to maintain a safe and secure environment.
  • Monitor access control systems, visitor management, and emergency response plans.
  • Assist in implementing fire safety procedures and regulatory compliance.

4.Housekeeping & Maintenance Coordination

  • Supervise housekeeping and maintenance staff to ensure cleanliness and upkeep.
  • Oversee scheduled maintenance of mechanical, electrical, and plumbing (MEP) systems.
  • Coordinate with contractors for repairs and preventive maintenance tasks.

5.Financial & Administrative Support

  • Assist in managing property budgets, expense tracking, and vendor payments.
  • Support the collection of property management fees and other charges.
  • Prepare reports related to operational performance and financial updates.

6.Regulatory & Policy Enforcement

  • Ensure compliance with building regulations and condominium by-laws.
  • Address and follow up on violations of community rules and guidelines.
  • Support the enforcement of lease agreements and tenant policies.

7.Vendor & Contract Management

  • Coordinate with vendors and service providers for building maintenance and facility needs.
  • Review contracts, negotiate service agreements, and ensure service quality.

8.Other Duties

  • Assist the Property Manager with special projects and operational improvements.
  • Represent the Property Manager during absences and decision-making processes.
  • Perform other duties as assigned to ensure smooth property operations.
  • Reporting Route
  • Reports directly to the Property Manager.
  • Works closely with the Security, Housekeeping, and Maintenance teams.
  • Coordinates with vendors, contractors, and residents as needed.

Qualifications & Requirements

Education:

  • Bachelor’s degree in Property Management, Business Administration, or a related field.
  • Experience: Minimum 3–5 years in property management, facility operations, or a similar role.

Skills:

  • Strong leadership and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office and property management software.
  • Knowledge of building systems, regulations, and emergency procedures.
  • Ability to manage multiple tasks and work under pressure.
  • Language: Proficiency in English and the local language preferred.

 

Working Hours: 8:30 AM to 5:00 PM
Holidays: Sunday & Public Holidays.
