Job Requirements

  • Bachelor’s degree in Business Administration, Information Management, Library Science, or a related field.
  • Minimum 3 years of experience in a Document Control or Records Management role, with at least 1-2 years in a supervisory or senior capacity.
  • Proficiency in a Document Management System (DMS) such as SharePoint, Aconex, OpenText, Documentum, or similar. Expertise in file naming conventions, indexing, and metadata. Proficient with Microsoft Office Suite (Word, Excel, Outlook).
  • Strong understanding of the Document Lifecycle (creation, review, distribution, archiving, disposal). Familiarity with quality management standards (e.g., ISO 9001) or industry-specific regulatory requirements is a plus.
  • Exceptional organizational skills and attention to detail. Strong leadership and team motivation skills. Excellent written and verbal communication. Proactive problem-solver. Ability to handle sensitive and confidential information with integrity.

Job Descriptions

Operational Oversight & Execution

  • System Maintenance: Assist the Manager in administering the Electronic Document Management System (EDMS/DMS), ensuring all systems are functioning optimally, and promptly troubleshoot issues.
  • Document Processing: Oversee the daily logging, tracking, distribution, archiving, and retrieval of all controlled documents (electronic and hardcopy).
  • Quality Control: Conduct routine Quality Checks (QC) on document formats, numbering, metadata, and filing to ensure strict adherence to company procedures and regulatory standards.
  • Version Control: Rigorously manage document versioning, ensuring that only the most current and approved documents are in use across the organization.
  • Workflow Management: Monitor document review and approval workflows to ensure timely completion by designated stakeholders.

Team Leadership & Support

  • Supervision: Provide day-to-day supervision, support, and mentorship to Document Controllers and Document Control Assistants.
  • Training: Develop and deliver training sessions on document control policies, procedures, and system usage for new hires and existing employees.
  • Task Delegation: Assign and prioritize daily tasks to the team, managing workload distribution to meet organizational deadlines.
  • Performance: Assist the Manager with performance tracking and goal setting for the document control team.

Compliance & Reporting

  • Policy Implementation: Ensure the document control process adheres to all internal policies, as well as external industry regulations (e.g., ISO, FDA, legal hold requirements).
  • Records Retention: Oversee the proper application of document retention and disposal schedules, ensuring legal and statutory compliance for archiving and destruction.
  • Reporting: Generate regular and ad-hoc reports on document status, control metrics, compliance gaps, and audit readiness for management review.
  • Audits: Participate in and support internal and external audits by preparing necessary documentation and demonstrating control systems.

Process Improvement

  • Procedure Development: Collaborate with the Manager to review, revise, and develop new Document Control Procedures (DCPs) and work instructions to enhance efficiency and effectiveness.
  • Digitalization: Drive initiatives for the digitalization and automation of document processes, including scanning and migrating physical documents.
  • Data Security, Backup & Disaster Preparedness (Important for Assistant Manager level)
  • Data Security: Ensure all documents are handled with integrity and in line with security protocols, and that confidential documents are managed with proper protection.
  • Backup Management: Verify routine backup procedures and recovery strategies for both electronic and physical records.
  • Disaster Recovery: Participate in development of document disaster-recovery plans, ensuring critical records can be restored after emergencies.

Working Hours: 9:00 AM – 5:30 PM
Holidays: Saturday (Half) & Sunday & public holidays
