Job Descriptions

  • Lead management of the executive office and ensure that all processes are efficient and effective.
  • Act as and/or organize a translator/interpreter (Burmese and English) between MD and internal and external stakeholders.
  • Translate business documents between English and Burmese and interpret at business meetings with internal staff, senior managers, and external stakeholders.
  • Manage the executive office function to arrange and handle all logistics for management meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Develop complex business documents, reports and presentations in English.
  • Complete a broad variety of administrative tasks that facilitate the MD’s ability to effectively lead the organization, including: assisting with special projects; conducting preliminary market research for new businesses, designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense approval and reports.
  • Carry out the full spectrum of corporate secretarial activities including company incorporations, registration of foreign branches & representative offices, maintaining the company statutory registers and records, lodging, and filing in time all necessary documents required by law, creating directors/shareholders resolutions for critical decisions and bank account opening & change of signatories, ensuring company’s compliance with the statutory requirements under Myanmar laws.
  • Work closely with the MD to keep her well informed of upcoming commitments, responsibilities, or any emerging issues, following up appropriately.
  • Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the MD updated.
  • Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the MD and staff, demonstrating leadership to maintain credibility, trust, and support with the Management Team.
  • Work with the Management Team to coordinate the MD’s outreach and public relations activities.
  • Follow up on contacts made by the MD to cultivate ongoing relationships.
  • Invest in building long-lasting relationships both externally and internally.
  • Maintain a professional and organized work environment
  • Other duties if required for the benefit of the organization.

 

Job Requirements

  • Minimum bachelor’s degree
  • Minimum 3 years’ experience working in a secretary or similar role.
  • Minimum 2 years’ experience supervising staff and managing a team.
  • Proficient in English (Speaking, Reading, Writing and listening at business level) – ability to interpret at high-level business meetings with senior managers or translate/create complex business documents.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Exceptional organizational skills and attention to detail.
  • Strong ability to execute work from diverse, equitable and inclusive perspectives.
  • High degree of professionalism in dealing with diverse groups of people, including management members, senior staff, staff, customers, community leaders, donors, and funded partners.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with minimum guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

Working Hours: 8:30AM ~ 5:30PM
Holidays: Saturday, Sunday & Public Holidays
