Job Descriptions

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Recruit and train personnel and allocate responsibilities and office space
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Manage schedules and deadlines contractor contract.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Monitor costs and expenses to assist in budget preparation.
  • Oversee facilities services, maintenance activities and tradespersons. (E.g electricians)
  • Organize and supervise other office activities. (recycling, renovations, event, planning, etc)
  • Keep abreast with all organizational changes and business developments.
  • Manage the processing of HR related paperwork, including new hire paper work, benefit enrollment forms, and employee status changes.
  • Ensure compliance with HR policies and procedures, including record-keeping requirements and reporting obligations.
  • Develop and implement procedures for the efficient processing of HR related paperwork.
  • Manage HR- Related data and record-keeping systems, including electronic and paper files.
  • Monitor compliance with HR related laws and regulations including wage and hours laws, safety regulations, and other employment-related laws.
  • Provide administrative support to the HR department, such as scheduling meetings, preparing reports, and maintaining departmental records.
  • Respond to employee inquiries regarding HR Policies, procedures, and Programs.
  • Manage and mentor HR administrative staff, including providing guidance, coaching and performance feedback.
  • Assist with HR-related projects as assigned.

 

Job Requirements

  • Bachelor’s degree in HR, Business Administration, or related field. A Master’s Degree in HR is a plus.
  • At Least 5-7 years of experience in HR, with a minimum of 3 years in an administrative role.
  • Strong knowledge of HR Laws and regulations, including record-keeping and requirements and reporting obligations.
  • Excellent organizational and time-management skills.
  • Detail-oriented with strong problem-solving skills.
  • Strong Leadership and management skills, with experience managing and mentoring administrative staff.
  • Proficient in Microsoft Office and other HR software applications.

 

Working Hours: 8:00AM ~ 5:00PM

Holidays: Sunday and Public Holiday
