Job Summary
• Responsible for end-to-end HR functions for a small-to-medium sized bread bun production business. The role supervises staff administration across production, warehouse, sales and office teams, manages payroll and leave, supports recruitment and training, ensures compliance with local labor regulations, and maintains efficient day-to-day office and facility operations.
Key Responsibilities
• Education: Diploma or bachelor’s degree in Human Resources, Business Administration or related field preferred.
• Experience: 2-5 years in HR or admin roles; experience in food production, manufacturing or FMCG is an advantage.
• Technical skills: Proficient with payroll processing, Excel and basic record-keeping tools.
• Soft skills: Strong organizational skills, confidentiality, clear communication, diplomacy and problem-solving.
• Physical and other requirements: Willingness to spend time on the factory floor and travel between sites if needed.
• Supervise daily workforce operations across production, warehouse, sales and office teams to ensure schedules, attendance and staffing levels meet production targets.
• Coordinate shift rosters and manpower planning to align with production schedules and peak demand periods.
• Manage full-cycle recruitment for operational and support roles: job postings, screening, interviewing, reference checks and offer letters.
• Run onboarding and induction for new hires including orientation, basic skills training, health and safety briefings and documentation collection.
• Prepare and process payroll accurately and on time for all staff, including overtime, bonuses and statutory deductions.
• Maintain leave records (annual, sick, maternity, casual) and apply company leave policies; approve or escalate leave requests per delegation.
• Reconcile payroll with cash disbursements and bank payments and provide monthly payroll summaries to management.
• Maintain attendance systems (cards, registers or digital) and perform daily/weekly reconciliations.
• Investigate irregular attendance, absenteeism and tardiness and implement corrective steps or disciplinary actions according to policy.
• Maintain accurate personnel files and HR records including contracts, ID copies, tax documents and training records.
• Administer statutory filings and employee benefits (social security, tax declarations or local equivalents) and coordinate with external providers when needed.
• Develop and maintain HR policies and SOPs relevant to operations, attendance, leave, discipline and grievance handling.
• Produce periodic HR reports: headcount, turnover, absenteeism, payroll cost, overtime and training metrics.
