Job Descriptions
Procurement Execution & Administration
- Prepare, process, and issue purchase orders (POs) and requisitions based on internal needs.
- Track and monitor the status of all orders from placement until delivery, ensuring timely receipt of goods and services.
- Update internal databases and purchasing software with accurate order details, including dates, quantities, pricing, and vendor information.
- Maintain a comprehensive filing system for all purchasing documents, contracts, and historical records for audit and knowledge-preservation purposes.
- Ensure all purchasing activities strictly follow the company’s procurement policies and procedures.
Supplier and Internal Liaison
- Communicate regularly with suppliers to confirm order details, check on delivery schedules, and resolve minor issues or discrepancies related to orders.
- Assist the Purchasing Supervisor in researching potential vendors and gathering basic price quotes for materials and services.
- Liaise closely with the Warehouse/Inventory staff to cross-reference product deliveries against purchase orders, ensuring accuracy of received items.
- Cooperate with the Finance department on issues related to invoices and vendor payment processing.
Support and Reporting
- Assist in monitoring stock levels and performing basic inventory checks to identify when replenishment orders are needed.
- Provide administrative and clerical support to the Purchasing Supervisor and Officer as required, including data collation and report preparation.
Job Requirements
Education & Experience
- High School Diploma or attending university and college
- An Associate’s Degree (or equivalent certification) in Business Administration, Logistics, Supply Chain, or a related field is strongly preferred.
- A minimum of 1 year of proven experience in an administrative, clerical, purchasing, or procurement support role is desirable.
Core Competencies (Skills & Knowledge)
- Organizational Skills: Excellent attention to detail, accuracy, and strong organizational skills for record-keeping and data entry.
- Technical Proficiency: Competence in using standard office applications, especially advanced proficiency in MS Excel for data tracking and reporting. Familiarity with ERP or purchasing software is a plus.
- Communication: Effective written and verbal communication skills for liaising with suppliers and internal departments.
- Knowledge: Basic understanding of the end-to-end procurement and supply chain process.
- Work Style: Ability to work independently, manage multiple tasks, and maintain composure in a fast-paced environment.
Working Hours: 9:00 AM to 5:00 PM
Holidays: Saturday(alternate) & Sunday, Public Holidays
