Job Summary

The Import Documentation Staff is responsible for preparing, organizing, maintaining, and filing all import-related documents while ensuring complete and accurate records in both hardcopy and softcopy. The role also supports company document management and compliance.

 

Job Description,

  • Prepare, check, and maintain all import documentation.
  • Organize and file import documents in both physical and digital formats.
  • Maintain proper records of invoices, packing lists, bills of lading, certificates of origin, permits, and other import-related documents.
  • Ensure all required documents are complete, accurate, and readily accessible.
  • Coordinate internally with management, accounts, warehouse, and logistics teams regarding document requirements.
  • Prepare document sets required for customs clearance and internal processes.
  • Track document status and maintain an organized filing system.
  • Maintain company records, contracts, licenses, certificates, and other administrative documents in hardcopy and softcopy.
  • Scan, archive, and back up company documents regularly.
  • Assist with document retrieval during audits and inspections.
  • Perform other documentation and administrative duties assigned by management.

 

Job Requirements

  • Bachelor’s degree in Business, Commerce, Logistics, or a related field.
  • Minimum 1–2 years of experience in documentation, administration, or import documentation.
  • Basic knowledge of import documentation and customs procedures is preferred.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Strong document filing and record management skills.
  • Excellent attention to detail and organizational skills.
  • Ability to maintain confidentiality of company documents.
  • Good communication and teamwork skills.
  • Able to work independently and meet deadlines.
  • Experience using ERP or document management software is an advantage but not mandatory.

 

Working Hours: 8:00 AM to 5:00 PM
