  • Welcome patients politely and professionally.
  • Register new patients and verify patient information.
  • Assist patients with forms and clinic procedures.
  • Answer general questions regarding appointments, services, fees, and clinic policies.
  • Maintain a calm and helpful attitude when dealing with anxious, dissatisfied, or difficult patients.
  • Maintain patient confidentiality at all times.
  • Schedule, confirm, reschedule, and cancel appointments.
  • Confirm upcoming appointments by phone or messaging.
  • Manage dentists’ schedules efficiently to minimize unnecessary gaps.
  • Coordinate emergency and walk-in patients appropriately.
  • Inform the dental team promptly about cancellations, delays, and schedule changes.
  • Maintain and manage patient recall and follow-up appointments.
  • Answer incoming calls promptly and professionally.
  • Respond to Facebook Messenger, Viber, Telegram, or other clinic communication channels as assigned.
  • Provide accurate basic information about clinic services.
  • Direct clinical questions to the appropriate dentist rather than providing unauthorized medical/dental advice.
  • Follow up with patients when requested by the treating dentist.
  • Create and update patient records accurately.
  • Maintain appointment, treatment, and contact information.
  • Prepare patient files before appointments when required.
  • Organize consent forms, treatment documents, radiographs, laboratory records, and referrals.
  • Protect confidential patient and clinic information.
  • Inform patients of treatment charges according to the clinic’s approved fee schedule.
  • Collect payments and issue receipts.
  • Record cash, bank-transfer, QR, or other payments accurately.
  • Coordinate outstanding balances and payment follow-ups.
  • Reconcile daily front-desk collections according to clinic procedures.
  • Report discrepancies immediately to the clinic manager.
  • Communicate patient arrivals and waiting times to dentists and dental assistants.
  • Coordinate patient flow between reception, consultation, treatment, X-ray/CBCT, and payment.
  • Communicate laboratory appointments and delivery dates when applicable.
  • Support the clinic manager with administrative duties.
  • Attend staff meetings and training sessions as required.
  • Keep the reception and waiting areas clean, organized, and presentable.
  • Ensure necessary forms, stationery, and patient information materials are available.
  • Monitor waiting times and communicate delays politely to patients.
  • Maintain a professional appearance of the front desk throughout working hours.

Job Requirements

  • High school completion or equivalent.
  • Diploma or bachelor’s degree in business administration, hospitality, healthcare administration, or a related field is preferred.
  • Previous receptionist, customer-service, healthcare, or dental-clinic experience is preferred.
  • Dental experience is an advantage but not mandatory if the candidate is willing to learn.
  • Good spoken and written Myanmar language.
  • Basic English communication skills.
  • Good telephone and messaging etiquette.
  • Basic computer skills, including Microsoft Office/Google applications.
  • Ability to learn dental clinic management software.
  • Accurate data entry and basic cash-handling ability.
  • Good organizational and time-management skills.
  • Ability to multitask during busy clinic hours.
