Job Requirements
- Bachelor’s Degree/Diploma in Civil/Structural Engineering, Architecture, Construction Management, or a related field. (A technical background helps significantly in understanding structural drawing types and terminology).
- Minimum of 3–5 years of proven experience as a Document Controller and Coordinator, specifically within an Engineering/Structural Design Consultancy or a main contracting environment.
- Hands-on experience with industry-standard AutoCAD and Revit (BIM) files is highly advantageous.
- Advanced proficiency in MS Office Suite (Word, Excel, Outlook).
- Meticulous eye for spotting errors in drawing titles, scales, revisions, and document numbering codes.
- Exceptional ability to multi-task, prioritize, and manage heavy volumes of data across multiple active projects simultaneously.
- Strong written and verbal communication skills to professionally interface with corporate clients, senior engineers, and site personnel.
Job Descriptions
- Maintain and manage the Electronic Document Management System ensuring all structural design deliverables are accurately categorized and logged.
- Track drawing revisions (Rev 0, Rev 1, etc.) and structural calculation updates to ensure the design team, clients, and contractors never work off obsolete information.
- Check incoming and outgoing structural drawings and documents for compliance with company standards, numbering conventions, and project-specific protocols before formal submission.
- Maintain a secure, easily retrievable digital and physical archive of all completed structural designs, calculations, soil investigation reports, and third-party review certificates.
- Act as the main point of contact for the flow of information between Internal Structural Engineers/BIM Modelers and external parties (Architects, MEP Consultants, Quantity Surveyors, Project Managers, and Main Contractors).
- Register, log, and track the status of Requests for Information (RFIs). Route them to the appropriate structural engineer for clarification and ensure timely responses to meet project deadlines.
- Prepare, issue, and track official document transmittals for structural design packages (Schematic, Detail Design, Tender, and Construction stages).
- Schedule progress meetings, prepare agendas, and accurately record and distribute Minutes of Meetings (MoM) focusing on structural design deliverables and action items.
- Maintain and update the MDR daily to provide a real-time snapshot of project progress, submission dates, and approval statuses (Approved, Approved with Comments, Rejected).
- Monitor outstanding document reviews and approvals from clients or local authorities, proactively following up to prevent project delays.
- Generate weekly/monthly document control and project coordination status reports for the Project Manager and Principal Structural Engineer.
Working Hours: 8:00 AM to 5:00 PM
