Job Descriptions
- Manage MD’s daily schedule, appointments, meetings, and travel arrangements.
- Organize and maintain calendars, reminders, and follow-up actions.
- Prepare correspondence, reports, presentations, and meeting materials.
- Screen calls, emails, and visitors on behalf of the MD.
- Handle confidential documents and sensitive information professionally.
- Arrange internal and external meetings.
- Prepare agendas, minutes of meetings (MOM), and action trackers.
- Follow up with departments on pending tasks and deadlines.
- Coordinate board meetings and executive discussions when required.
- Act as a liaison between the MD and internal departments/external stakeholders.
- Coordinate with clients, vendors, government offices, and business partners.
- Draft official letters, emails, and announcements.
- Arrange business trips, flight bookings, hotel reservations, transportation, and itineraries.
- Support event planning, conferences, and corporate functions attended by the MD.
- Maintain filing systems, contracts, and important company records.
- Ensure documents are properly organized and accessible.
- Assist in preparing business reports and operational summaries.
- Monitor ongoing projects and update the MD on progress.
- Track deadlines and ensure timely completion of assigned tasks.
- Assist in coordinating cross-functional activities.
- Maintain strict confidentiality regarding company and executive matters.
- Represent the MD and company professionally at all times.
- Timely management of MD’s schedule and meetings.
- Accuracy and professionalism in communication/documentation.
- Effective follow-up and completion of assigned tasks.
- Confidentiality and professionalism maintained.
- Responsiveness and coordination efficiency.

- May require extended hours based on business needs.

Job Requirements
- Bachelor’s degree in Business Administration, Management, or related field.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to work under pressure and meet deadlines.
- High level of integrity and confidentiality.
- Strong interpersonal and coordination skills
- Professional appearance and attitude.
- Problem-solving and decision-making ability.
- Experience in corporate or executive office environments.
- Knowledge of office management systems and procedures.
- Fluently in English and Chinese.
Working Hours: 9:00 AM to 6:00 PM
Holidays: Holidays: Saturday (Half) & Sunday, Public Holidays
